CANCELLATION DECISION MADE BY MANAGEMENT BOARD OF HALONG BAY
When cancellation decision are made by Management Board of Halong Bay on the day of the trip in case of bad weather conditions or other safety matters. In such case, we will make alternative travel arrangement for you on request or offer refund in accordance with the cruise policy on the non joined services following your itinerary. Refunds will be processed directly at our office during openings hours.

While we operate successful different options for our “Halong Bay Cruise” trips in this region throughout the year, some changes may occur in our itineraries. Circumstances beyond our control such as changes in local conditions, inclement weather to timetables and transport routes or other reasons could force us to make changes to this itinerary. Any costs shown are subject to change, though are an accurate reflection of costs at time of writing.
This can happen with little notice so please be prepared for modifications to the route. The order and timing of included activities in each location may also vary from time to time.

To secure your booking, you have settled your down-payment with us. The balance due is payable upon your arrival in Hanoi at Friends Travel Vietnam office at 62 Hang Buom street, on the day before your scheduled departure. It’s possible to settle by cash or credit card (settle by card there might be an applicable transaction fee).
Be aware that our prices are not inclusive of transfer fees levied by your bank and oversea bank - please ask your bank to transfer the sum prior deduction or any shortfall.
The booking is only confirmed when full payment is completed on at least a day before your departure or if agreed others by email. We reserve the right to release part or full booking if the full payment is not completed as deadline. Payment in Vietnam Dong is to be made equivalent to the amount in United States Dollars at the official exchange rate of the VietcomBank at the time of your booking.

The information below on your itinerary and details are intended to assist you as you consider your travel options for Vietnam with Friends Travel Vietnam. In addition to the detailed itinerary each tour has been supported with some useful information to provide you with an overview of your accommodation & meals, all things as money, passports, visas, vaccinations, insurance, clothing, personal equipment and much more to help you with your travel preparations.
DAY 1 - HANOI TO CASTAWAYS (L, D)
Meet the rest of your crew in Hanoi at the Vietnam Backpackers Hostel Downtown at 9 Ma May street at 6:45 AM, we depart 7.00am departure. If you're staying staying at Vietnam Backpackers Hostel Original you will need to be ready to leave at 6.15am. Travel by bus and boat to Castaways Island taking in some sights of Cat Ba National Park along the way. Arrive in time for lunch on the beach and fuel up for some activities.
Get into the water sports! Not only are they a bucket load of fun but great for exercise. Go high-speed tubing! (our most popular optional). You and 3 friends will get real close while you bounce around Ha Long Bay at speed while all trying to be the last one left on. If you’re a wakeboarder or you want to learn, what a place to do it! Our watersports crew will get you up and going for the most memorable wakeboard of your life. Go rock climbing! If you’ve already got a head for heights or if you want to learn, our professional rock climbing team will provide you with the highest standard of equipment and instructions you need to climb a cliff face and checkout Ha Long Bay from up high.
As the sun sets, enjoy drinks on the beach, chill out with your crew or simply take a well-deserved nap in a hammock in preparation for a big night of partying!
DAY 2 - ALL DAY CRUISE (B, L, D)
Breakfast is served from 7am so you have plenty of time to get yourself ready for a day on a traditional junk boat cruising through Ha Long Bay. You will depart at 10am for a cruise through the magnificent un-touristic mountain range of Lan Ha Bay, taking in the local fishermen and their floating villages. This is followed by an hour kayaking tour through ancient caves and a network of lagoons, getting the opportunity to possibly see the endangered Langur monkey, native to Ha Long Bay. After your kayaking you will be treated to a traditional Vietnamese lunch offering fresh seafood, meat, vegetables, rice, noodles and fresh fruit (Vegetarian options are available and please let us know of any allergies at the time of booking). After lunch you can kick back and relax on the boat, taking in the amazing views, or go for a leisurely swim with your Castaways buddies. Before heading back in time to freshen up and be ready for dinner and a night of fun ahead.
DAY 3 - CASTAWAYS ISLAND TO HANOI (B, L)
You do not depart the island until after lunch so lots of time to enjoy a slow morning, kayaking, a morning swim or maybe a well deserved lie in.
Not all good things have to come to an end!! If you like where you are, stay. You’re welcome to continue your stay on the island and share your experiences with the daily new arrivals. You can pre-book it with our Travel Gurus at our travel desks, online or extend while on the island.
If you really have to leave, after lunch we commence the journey back to civilization via boat and bus, you will arrive back at the Downtown Hostel at approximately 6pm.

PICK UP / DROP OFF
MEETING POINT: Vietnam Backpackers Hostel Downtown at 9 Ma May street at 6:45 AM* Client will be responsible to confirm their stay in Hanoi Old Quarter, if not confirmed your stay for pick-up you will be required to come to our meeting point at 7:30AM, we always reconfirm your pick up details departing time by email.
Not being on time or being present is seeing as non-shown up!
We will return to Hanoi between 5:30 and 6:00PM.
Keep in mind to arange and plan your travel accordingly to your itinerary. For example if you arrive at Hanoi airport at 6:00AM, it will be too late for a cruise departing on the same day. Similarly, any onward flight or train trip from Hanoi will need booked to be later than 7PM so that you can avoid all the hassle involved.
Please ask for advice if needed or if you are not sure about it.
WHAT TO BRING
Most of the cases, Halong Bay will be a side trip from your grander voyage to Vietnam. If possible, leave your luggage with a hotel (if trusted) and bring only day pack with you to best enjoy the trip. Take into account that you will need to carry them onto the shuttle bus, then onto the deck, then from the deck back to land. The lighter you pack, the better. Below are a few tips for you to pack smartly.
Travel documents: These are essential and you may be denied boarding without valid documents such as passport and visa.
Clothes: You will need at least 3 set of clothes: for casual day wear, for evening wear and for swimming if you plan to do so. If you travel between May and October, it is fine to bring shorts and skirts and short sleeve shirts. For the rest of the year, bring extra sweaters since Halong Bay can get quite cold. In December and January for example, bring some light jackets.
Water bottles: Although the cruise will have water ready for you, some shuttle bus will not have them. Keep yourself hydrated all through out the trip to best enjoy it. Please note that water will not be complimentary.
Footwear: Sandals and walking shoes are both fine though the frequent exposure to water may make your feet wet and stinky with high capacity shoes. Sandals, on the other hand, may make you feel uncomfortable walking insides the caves or when you climb the rock to the top of some grotto's.
Electronic device: Camera is another essential item on your to-pack list. Charge the battery to full before you leave Hanoi and always leave them charged when you are in the cabin. There are so many things in Halong Bay to capture photos of and you do not want to miss the opportunity. Bringing the laptop or expensive device with you to Halong Bay may be better than leaving them at the hotel back in Hanoi. Always keep an eye on your personal belongings to minimize the risks. Unless otherwise noted, all cruises on our website are equipped with wifi facility for you to keep in touch with friends and relatives.
Others: A raincoat will be helpful in rainy summer months. The cruise will have umbrella ready but it does not hurt to bring your own. Sunglasses and sunscreen also work great for the sunbathing moments on the top deck of cruise and junks. Bring your medication if required by doctor. If you are seasickness, stock up on pills. Waterproof backpack.

Please provide us your passport information (name, date of birth, passport number, visa validity) prior to departure.
You are strongly advised to take out cancellation insurance at the time of booking which will cover cancellation fees. If you leave a trip for any reason after it has commenced we are not obliged to make any refunds for unused services.
If you fail to join a trip, join it after departure, or leave before it’s completion, no refund will be made. Additional fees to the above mentioned may be imposed by accommodation providers, travel agents or third party tour and transport operator fees.
Cancellation by us
While we endeavour to operate all trips as described when you booked however we reserve the right to change the trip itinerary if deemed necessary to do so.
Before departure: If we make a major change we will inform you as soon as reasonably possible if there is time before departure. The definition of a major change is deemed to be a change affecting at least one day in five of the itinerary. When a major change is made you may choose between accepting the change, obtaining a refund of money paid on the land portion of the trip only or accepting an alternative tour offered.
After departure: We reserve the right to change an itinerary after departure due to local circumstances or events outside of our control. In such cases, you will cover any additional costs of any necessary itinerary alterations. Please note we are not responsible for any incidental expenses that may be incurred as a result of the change of itinerary such as visas, vaccinations or non-refundable flights. Please refer to sections labelled ‘Travel Insurance & Force Majeure’
AUTHORITY ON TOUR
Our trips are run by a group leader. The decision of the group leader is final on all matters likely to affect the safety or well-being of any person participating in the trip. If you fail to comply with a decision made by a group leader, or interfere with the well-being or mobility of the group, the group leader may direct you to leave the trip immediately, with no right of refund. We may also elect not to carry you on any future trips booked. You must at all times comply with the laws, customs, foreign exchange and drug regulations of all countries visited, and you also agree to travel in accordance with our responsible travel guidelines.
ACCEPTANCE OF RISK
You acknowledge that the nature of our trips is adventurous and participation involves a degree of personal risk. We use information from government foreign departments and reports from our own contacts in assessing whether the itinerary should operate. However it is also your own responsibility to acquaint yourself with all possible relevant travel information and the nature of your itinerary. You acknowledge that your decision to travel is made in light of consideration of this information and you accept that you are aware of the personal risks attendant upon such travel.
LIABILITY: Whilst we make every effort to safeguard our clients and their belongings, we cannot be held responsible for personal injury or loss due to events, which are beyond our control.
TRAVEL INSURANCE: Travel insurance is NOT included; we strongly recommend that passengers have their own travel insurance against illness, injury, loss/damage to personal belongings and not being able to travel on the confirmed departure date.
Neither party shall have any liability under or to be deemed to be in breach for any delays or failures in performance, which result from unusual and unforeseeable circumstances beyond the reasonable control of that party, the consequence of which neither party could avoid even with all due care, including, but not limited to, war, threat of war, riot, civil strife, terrorist activity (actual or threatened), industrial dispute, unavoidable technical problems with transport, machinery or equipment, power failure, changes imposed by rescheduling or cancellation of flights by an airline, natural or nuclear disaster, fire, flood, drought, adverse weather conditions, epidemics or outbreaks of illness and level of water in rivers.
PASSPORTS & VISAS
As a general rule most countries expect that you will have at least 6 months’ validity on your passport. Visas are the responsibility of the individual. The visa requirements for your trip vary depending on where you are from and where you are going. On arrival visitors may be asked to present return tickets and evidence of means to cover your intended stay. We keep the following information up to date as much as possible, but rules do change – it’s important that you check for yourself. Residents from other countries must consult the relevant embassies or your travel agent.
PRICES & SURCHARGES
Our trip prices are subject to variable and seasonal pricing, both of which are standard practice within the travel industry. This means our trip prices may vary at any time depending on demand, market conditions and availability. It is likely that different passengers on the same trip may have been charged different prices. Your best option if you like the price you see is to book at that time.
Any reduced pricing or discounts that may become available after you have paid your deposit will not apply. If you wish to cancel your booking to take advantage of a cheaper price, full cancellation conditions apply. The most up-to-date pricing is available on our website.
Prices are based on currency exchange rates at time of booking. We reserve the right to impose surcharges prior to departure due to unfavourable changes in exchange rates, increases in airfares or other transportation costs, increases in local operator costs, taxes, or if government action should require us to do so.
CLAIMS & COMPLAINTS
If you have a complaint about your trip, please inform your trip leader or our hostel teams at the time in order that they can attempt to rectify the matter. If satisfaction is not reached through these means then any further complaint should be put in writing to us within 30 days of the end of the tour. And can be sent to firstname.lastname@example.org
This agreement is governed by and construed in accordance with the laws of Vietnam (and/or applicable in relation to the country it is legally represented) for the time being in force and the parties agree to submit any dispute arising between the parties under this agreement to arbitration in accordance with the Arbitration Rules of the respectable Arbitration Institute, Office of the Judiciary applicable at the time of submission of the dispute to arbitration and the conduct of the arbitration thereof shall be under the auspices of the specific Arbitration Institute accordingly.
